Is your company having problems with the dial by name directory?

How do names get into the directory?

Individuals are added to the dial by name directory when they set up their voicemail boxes for the first time. If you recall the tutorial, it asks you to say your name, spell the first three letters of your last name, and asks if you would like to be listed in the directory.

What if someone changes extensions?
The best thing to do if an employee changes extensions or voicemail boxes is to reset the mailbox to new and then have the employee go through the tutorial for their new mailbox.  

Mailboxes can be reset very easily through the system manager options of the voicemail system.

What if someone’s name is still not in the directory?

Instruct the employee to go into their mailbox and access set up options. Once in Setup options, access personal options. Then go to recorded name, spelled name, and directory status. Make sure that all three settings are correct.

Why is the tutorial sometimes incorrect.

Often times, employees will change extensions or voicemail boxes without resetting the mailboxes to new. The employee will take over a pre-existing mailbox and change the greeting, but not change the recorded name, spelled name, and directory status.
